How Telehealth Works
Request Your Appointment
Contact us to request an appointment that works for you. We'll arrange a time that suits your schedule.
Complete Intake Forms
Before your first session, you'll receive secure online forms to complete. These help us understand your needs and make the most of our time together.
Receive Your Session Link
You'll receive an email with your unique session link 24 hours before your appointment. This link is secure and specific to your session.
Test Your Technology
We recommend testing your setup 10-15 minutes before your session. Check your camera, microphone, and internet connection to ensure everything works smoothly.
Join Your Session
Click the link at your appointment time to join. Sessions run for 50 minutes via secure video connection. If technology fails, we can switch to phone.
Payment
If you are paying privately or using medicare or private health rebates, we will charge your nominated card automatically during the session. If you have NDIS funding, invoices are sent out once per week on a Wednesday to yourself, or your nominated plan manager.

- Stable internet connection (minimum 5 Mbps)

- Updated web browser (Chrome, Firefox, Safari, or Edge)
- Private, quiet space for your session

- Computer or tablet (preferred over phone)
- Headphones for better audio quality
- Good lighting (natural light or lamp facing you)
- Comfortable seating
- Water and tissues nearby
- Any comfort items (fidgets, soft toys, pets)

- Desktop or laptop computer
- Tablet (iPad, Android tablet)
- Smartphone (if no other option)
- Can switch to phone call if video fails

- Affirming Minds utilises NovoNote, an automated tool designed to assist clinicians with taking session notes. NovoNote is compliant with privacy laws and ensures that all session notes are securely stored and accessible only to authorised personnel.
Common Questions & Troubleshooting
What if my internet connection drops out?
Don't worry! If we lose video connection, we'll switch to a phone call to continue the session. Keep your phone nearby just in case. You won't lose your session time.
Can my partner/support person join the session?
Absolutely! If it would be helpful to have a support person present, they're welcome to join. Just let us know beforehand so we can plan accordingly.
What if I can't find a private space?
We can work with what you have. You might use headphones, sit in your car, or use a white noise app outside your door. We can also adjust session times to when you have privacy.
Do I need to be on camera?
While video helps us connect better, it's not mandatory. If you're more comfortable with camera off sometimes (or always), that's okay. Your comfort is most important.
What if I'm not tech-savvy?
Our system is designed to be simple - you just click a link! We can do a brief tech check before your first session, and we're always happy to help troubleshoot.
Tips for Successful Telehealth Sessions
Before Your Session
- Test your technology 10-15 minutes early
- Find a quiet, private space where you won't be interrupted
- Have water, tissues, and any comfort items ready
- Close other programs on your device to improve connection
- Consider what's visible in your background
- Put a "Do Not Disturb" sign on your door
During Your Session
- Treat it like an in-person appointment - be present and engaged
- Feel free to move, stretch, or use fidget items as needed
- Let us know if you're having technical difficulties
- Take notes if that helps you remember important points
- Ask for breaks if you need them
After Your Session
- Take some time to decompress
- Write down any thoughts or reflections while they're fresh
- Be gentle with yourself - therapy can be tiring
